How to prepare for an HSA inspection

The Health and Safety Authority can visit with little notice. Preparation is a system, not a scramble when the inspector is at the gate.

Have the file ready

Inspectors typically ask for the safety statement, current risk assessments, training records, accident and near-miss logs, statutory inspection certificates, and for construction — the safety file, construction stage plan, and evidence of PSDP/PSCS arrangements.

Match paper to the site

The fastest way to lose credibility is a perfect folder and an unsafe site. Edge protection, traffic management, welfare, PPE, and housekeeping should match what the RAMS describe. Brief the person who will walk the inspector around.

Be factual, not defensive

Answer what is asked. If a control is not in place, say so and explain the immediate action. Do not guess legal points. You can follow up in writing.

After the visit

Close out findings with owners and dates. Update the safety statement if the work or the risk picture has changed. SM Safety Solutions can run a pre-inspection audit so gaps are found by you first. Talk to us.
